How the estimator works

The estimator asks the same questions we ask on a first call: how fresh your reports need to be, roughly how much data you hold, how many people build reports versus read them, and whether you need advanced capabilities such as Copilot, data warehousing or real-time monitoring. From those answers it applies Microsoft's published licensing rules to recommend Free, Power BI Pro, Premium Per User or a Microsoft Fabric capacity, and shows the monthly and annual cost of that recommendation.

It deliberately mirrors the logic of our long-running original estimator so results stay comparable, and it runs entirely in your browser: nothing you enter is sent to us or stored. The list prices behind it are re-checked against Microsoft's published pricing every week, and the date they last changed is shown above. Treat the figure as a first pass. Licensing has edge cases (E5 bundling, capacity smoothing, commitment discounts) that can move the number in your favour, which is exactly what the free review call is for.

Frequently asked questions

Do I need Power BI Premium Per User, or is Pro enough?+

It depends on your answers to a few questions the estimator asks: how fresh your reports need to be, how much data you hold, and how many people build reports versus just read them. Feed those in and it applies Microsoft's published licensing rules to recommend Free, Pro, Premium Per User or a Fabric capacity, whichever comes out as the cheapest sensible fit.

How much does Microsoft Fabric capacity cost?+

There's no single figure, because Fabric capacity cost depends on how much data you hold and how many people need access. The estimator takes those inputs, applies Microsoft's published list prices, and shows you the monthly and annual cost of a capacity sized for your setup.

Is Copilot licensing included in the estimate?+

Yes. Whether you need Copilot is one of the questions the estimator asks directly, alongside data warehousing and real-time monitoring, and your answer feeds into which licence tier it recommends.

Is this estimator free, and where does my data go?+

Yes, it's free and doesn't ask for an email address, and it runs entirely in your browser, so nothing you enter is sent to us or stored anywhere.

Why might my actual price end up lower than the estimate?+
