What a custom web app actually costs in 2026

Easy Insight ·

Ask three agencies what a custom web app costs and you'll get "it depends" three times, then a proposal a fortnight later. We'd rather just tell you.

The short version

For a genuinely custom web app (an internal tool, a customer portal, something that replaces a spreadsheet a business has outgrown), most of the builds we quote land between £8,000 and £40,000. That is our own planning band as of September 2026, drawn from the work we scope rather than a market survey — treat it as a starting point for a conversation, not a price list. The spread is real, and it's driven by a small number of things.

If you want the same treatment for a marketing site rather than an application, we've broken that down separately in what a website costs in the UK; for phone-first products, see app development costs — which carry ongoing store overheads a web app does not, via the Apple Developer Program and Google Play Console. And if you're not yet sure which of the three you need, website or web app is the decision framework.

What drives the cost of a web app

How many distinct screens and roles. A tool with one type of user and five screens is a different animal from one with admins, managers and customers each seeing something different. Roles multiply the work, because every screen has to be right for every kind of person who reaches it.

How much of the plumbing is already solved. Authentication, billing, file uploads, notifications: none of it is exciting, all of it takes time to do properly. Reach for well-worn tools and it's days; invent it and it's weeks.

How weird the process is. The single biggest cost driver is the exceptions. "It's simple, except when a customer is on the old plan, and except at month-end, and except for the two clients we handle differently." Those excepts are where the budget goes, so we map them before we quote.

Whether reporting is designed in or bolted on. Because we run a data practice, we build the reporting in from day one. Doing it later, after the data model has set like concrete, always costs more.

Where we'd tell you not to build

Sometimes the honest answer is "buy the off-the-shelf tool." If your process is genuinely standard, a £30/month subscription beats a £15,000 build every time, and we'll say so. Custom earns its keep when your process is a real competitive difference, or when no product fits the way you actually work.

The cheapest version of this discipline is scoping the first release ruthlessly — our guide to scoping an MVP you can actually afford covers how we cut a build down to the part that earns its keep. If the product is something customers will pay for rather than an internal tool, the shape of the work and the SaaS build costs are different again.

How we quote

One short scoping conversation, then a fixed estimate, not an hourly rate that drifts. If the scope changes, the estimate changes, visibly, before any work happens. That's the whole trick to not being surprised by a software bill.

You can see the shape of the work on our web development and web apps pages, and in the spreadsheet-to-tool case study.

Frequently asked questions

How much does a custom web app cost in the UK?

Most of the custom web apps we quote land between £8,000 and £40,000 as of September 2026. That is our own planning band from the work we scope, not a market survey. The spread is driven by how many user roles there are, how much of the plumbing is already solved, and how many exceptions your process contains.

What makes a web app more expensive to build?

Exceptions, mostly. "It's simple, except when a customer is on the old plan, and except at month-end" is where budgets go. After that: the number of distinct user roles, whether authentication and billing are built from well-worn tools or invented, and whether reporting is designed in from the start or bolted on afterwards.

Is a web app cheaper than a mobile app?

Often, yes — one responsive web app serves every device, where a native mobile app usually means separate iOS and Android builds plus app store review and developer programme fees. If your users reach you from a desktop at work, a web app is usually both cheaper and a better fit.

Should we build custom software at all?

Not if your process is genuinely standard. A £30-a-month subscription beats a £15,000 build every time when an off-the-shelf tool fits. Custom earns its keep when your process is a real competitive difference, or when no product matches the way you actually work — and we will tell you when that is not the case.
