What does a Power BI consultant actually do?

A Power BI consultant connects your business systems to a reliable data model, writes the calculations that turn raw records into trustworthy numbers, and builds the reports your team uses to make decisions. The job is mostly modelling and data plumbing; the dashboards everyone imagines are the last and smallest part.

What the job actually involves

Four things, roughly in this order.

Getting at the data. Your figures live in an accounting package, a CRM, a warehouse system and several spreadsheets. Connecting to those, reliably and on a schedule, is the first job — and often the longest.

Modelling it. Raw tables are not a reporting system. A consultant shapes them into a structure that can be sliced by date, customer, product and region without producing different answers depending on which way you ask. This is the part that determines whether the whole thing works.

Writing the measures. "Revenue" sounds simple until you ask whether it includes VAT, credit notes, intercompany sales or the two clients on the old contract. Someone has to write those rules down as DAX calculations and get them agreed.

Building and handing over the reports. Designing what people actually look at, setting up who can see what, and making sure someone in your business can keep it running.

A worked example

A 40-person distributor wants to know which products actually make money.

The sales figures are in their ERP system, costs sit in a spreadsheet the finance manager maintains, and delivery charges come from a courier portal. Today, someone spends two days a month combining them by hand, and the answer changes depending on who does it.

The consultant connects to the ERP directly, brings the cost spreadsheet in as a governed source, and builds a model linking products, customers, dates and orders. They agree a single definition of margin with the finance manager — after VAT, after credit notes, including delivery cost — and write it once as a measure. Then they build one report page: margin by product, filterable by customer and month.

The two days a month disappear. More importantly, everyone in the argument is now looking at the same number.

What they are not

Not a trainer, primarily — though good ones leave your team more capable than they found them. Not a data analyst: an analyst answers questions with data, whereas a consultant builds the system that lets your team answer their own. And not a permanent fixture. A well-run Power BI engagement should end, leaving a small maintenance allowance behind rather than an open-ended retainer.
